MEMBER LIST / OFFICERS / RENEWALS
Club membership software.
A register you can rely on.
Bring the member list, local groups and renewal checks into one workspace. Give your committee a clear process that the next officer can pick up.

01 / SHARE THE WORK
Help the next secretary start with the full picture.
When a club changes officers, the membership list should come with its context. VeritableRoll keeps member records, renewal requirements and recorded decisions together, so a new secretary can see what was reviewed and what still needs attention.
It is particularly suited to clubs, societies and federations with local groups or renewals that involve eligibility checks. Local officers can prepare cases while the people responsible for approval retain that responsibility.
02 / MOVE FROM THE SPREADSHEET
Turn your current member list into a working register.
Start with a CSV export from Excel or your existing membership system. Match your source columns to member fields, map local groups and grades, resolve problems and confirm the register. Review the results before committing the import.
- Keep the original member number, including leading zeros.
- Check how shared email addresses and multiple memberships are represented.
- Compare accepted and rejected rows with the original file.
- Review a member record and the local group it belongs to before continuing.
The migration guide includes a downloadable spreadsheet template and worked CSV example. Export the completed spreadsheet to CSV for import.
03 / RUN YOUR RENEWALS
Make the outstanding work visible.
Consider a fictional club federation that requires a current declaration and an eligibility reference as well as a paid subscription. The register should distinguish a missing declaration from an unpaid fee, and give the officer a next action for each.
VeritableRoll assesses the configured requirements, records evidence references and keeps permitted exceptions visible. Staff submit the case for independent review before issuing an approved renewal. The decision history preserves the context of the assessment instead of relying only on today’s member profile.
Use the renewal checklist to agree the cycle’s dates, responsibilities and final reconciliation with your committee.
Evaluate it against the work your club actually does.
In the 14-day no-card trial, follow the sample workspace and then try importing a permitted sample of your own records. Include an ordinary renewal, an incomplete case and a member belonging to two groups. Ask the next person who will use the register to follow the recorded decision.
Starter is £39/month plus applicable VAT for up to 500 members and 1 branch. Association is £99/month for up to 2,000 members and 5 branches, also plus applicable VAT. Compare the full annual cost with the work your club needs to handle. A small club needing only a fee list may be better served by a simpler product.
If your club also needs facility bookings, door access, a public website builder or a newsletter designer, include those in your evaluation: those specialist features are outside VeritableRoll’s current offer. Association-to-member payment collection needs a separately configured provider account.
Questions before you start
Can we import the list we already have?
Yes. Use CSV for the import, then match columns, map groups and grades, review flagged records and confirm. The preparation guide includes both a spreadsheet template and a worked CSV.
Do we need a separate subscription for every local group?
Published plans include a member and branch allowance: 500 members and 1 branch, 2,000 members and 5 branches, 5,000 and 15, or 15,000 and 30. Compare your structure with those allowances before subscribing.
Will we be charged at the end of the trial?
No card is required to start, and there is no automatic charge. You subscribe when you choose. Your club’s membership fees are separate from the VeritableRoll software subscription.
